Information about how to join the individual workshops was send by email to all registered CEDAR participants.

Workshop conveners need to provide their workshop information via the form here by June 8. After providing the workshop information the workshop can be scheduled (see Tentative agenda) via an editable link which will be provided. By 17 June the virtual meeting information has to be sent to maute at ucar.edu to be provided to the community.

General information about the workshop
- The workshop will take place 21-26 June, 2020
- CANCELLED: the poster session and judging (however, poster presentation can be submitted under pre-recorded presentations)
- CANCELLED: all plenary science highlights
- Distinguished and prize lectures will be selected and given at the 2021 workshop.
- A new Grand challenge workshop was selected in 2020 but the year 2020 will not count against the 3-years allocated to the Grand challenge workshops. Please check out all Grand Challenge workshops.
- A virtual NSF townhall is tentatively scheduled for Tuesday 23 June from 9-11 MDT (Mountain Daylight time).
- A virtual student day will take place on Monday 22 June from 9AM-3PM MDT (approximately 6hrs).
- The following grassroots efforts are planned
- Pre-recorded science highlight presentations by community members (includes poster presentations)
- Individual virtual workshops by community members
- There is a no-cost registration for the virtual meeting. The gathered information will be used to send out schedules and updates.
Pre-recorded science highlight presentations (Information form due 10 June)

- Community members interested in contributing a presentation should provide the presentation information by 10 June via the form here.
- By 15 June please provide the science highlight presentation itself via video links or upload to the site here (uploading naming convention lastname_firstname). It will be posted here on a website organized by categories with the presenter's information.
- We strongly encourage students and early career scientists to contribute.
- The highlight can be in poster format without audio but annotation is recommended.
- The pre-recorded science highlights will be asynchronous.
- The CSSC provides the following guidelines: Videos should be less than 15 min long and have a reasonable file size (e.g., <=1GB), at the end of the presentation the contact information for feedback should be provided. These presentations have to be scientific and aligned with CEDAR science. CSSC and CPAESS reserve the right to not post/eliminate material that is inappropriate based on NSF policy.
- So that CEDAR can comply with copyright law, in preparing your video presentations please adhere to the fair use rule as it applies to scientific publications (see https://www.copyright.gov/fair-use/more-info.html). Please acknowledge and attribute all previous work, graphics, short movie clips etc, in the presentation.
Individual virtual workshops (Information form due 10 June)
This is a grassroot effort as the technology for the individual workshop will be provided by the conveners and scheduling will only be guided by the CSSC. These workshops have to take place between 23-26 June to be included in the CEDAR schedule.

- Due dates:
- 10 June: workshop information form due
- now-12 June: Scheduling workshops (editable link will be provided)
- 13-17 June: Virtual meeting information has to be sent to maute at ucar.edu to be provided to the community.
- Conveners of already proposed workshops will be contacted and asked if they plan to organize a virtual workshop. Filing the workshop information sheet by 10 June is still required.
- Additional workshops - not included in proposed workshops list- can be planned and the information needs to be provided via the workshop information form by 10 June.
- Scheduling will be done online by the convener with some potential nudging by the CSSC. Due to the current situation with the need of flexibility the CSSC will not control the schedule but suggest changes to avoid overlap.
- A general workshop schedule will be provided to all registered CEDAR meeting participants via email and will be posted here.
- The individual workshops will get a wiki page to post the workshop agenda and other information.
- Community members interested in participating in a workshop can either contact the conveners who can invite them or conveners can send the video conferencing connection information to maute at ucar.edu by June 17. The information will be gathered in a pdf with the schedule and distributed to all registered CEDAR participants via email.
- No video conferencing connection information will be publicly posted.
- Guidance for individual workshops:
- core hours are 9-3PM Mountain time to cover 4-5 core time zones.
- length up to 120 min. Please take the time at the beginning of the workshop to go over technology, virtual meeting etiquette (such as muting) and instructions how the audience can interact e.g., chat, epolling etc.
- Consider having at least 1 dedicated moderator (co-host) for your workshop to channel audience feedback and deal with any potential issues e.g., unintended noise.
- Consider having at least a 10-15 min break between workshops like it would be during an in-person meeting, e.g. end not at the full hour but 15 min earlier.
